B2B appointment setting for your sales team

Have an offer, but your salespeople spend their time finding decision-makers and following up? Outsource outreach, qualification and meeting booking. Your team receives a time slot and the context needed to move forward.

Describe your needs first. Your enquiry is not a commitment to order.

A defined job, a usable handoff

What you receive — and who does what

Our responsibility

Our team: reach the right person, qualify interest, arrange a time and prepare notes.

Your input

Your team: the offer, meeting criteria, available slots and salesperson for the discussion.

Your deliverable

A meeting time and context: the contact’s needs, interest and agreed discussion points.

A pilot with a decision at the end

Define a valuable meeting together: company type, participant role, discussion topic and required information. Test one segment. Review bookings, reschedules and attended meetings separately.

Scope, price, timing and responsibilities are agreed before work starts. An enquiry does not place an order.

Illustrative structure — not client results

What does sales receive before a meeting?

  1. Company and role → qualification criteria
  2. Discussion topic → needs and customer questions
  3. Time and arrangements → owner and confirmation rules

Tchibo: sales support and appointment setting

Information was passed on according to the agreed guidelines, and meetings were properly scheduled and described. This allowed our sales team to focus on valuable meetings instead of contacting uninterested prospects.

Is this the right service for your business?

For B2B businesses whose salespeople run demos, consultations or proposal discussions. Also suitable for following up interest from campaigns, trade events or webinars.

Scope and working arrangements

Who do we invite?

We agree industries, company sizes, decision-maker roles and markets first. Together we define qualification criteria: need, interest, timing and handoff requirements. An answered call is not automatically a qualified lead.

How does a project work?

We agree the objective and contact data, prepare the script, train the team and run a pilot. Consultants assess fit, arrange a time and provide notes in your CRM or an agreed report. Reminders, follow-up and rescheduling rules are agreed before launch.

What do we report?

Reporting can include reached contacts, decision-maker conversations, rejection reasons, qualified leads, booked meetings and meetings held. A booking and an attended meeting are separate outcomes. We agree metric definitions and data delivery with you.

Can we use outcome-based pricing?

Yes, we can consider outcome-based pricing after a pilot and a review of the results. First we define the accepted outcome, data quality and responsibility for lead follow-up. Pricing depends on the project; we do not promise a fixed meeting count regardless of market conditions.

Know what you are buying

We arrange conversations, not guaranteed sales. We agree accepted meeting criteria, reminder ownership and no-show rules.

Describe your project — let’s define the scope →

From first discussion to a pilot

  1. Your process

We discuss your audience, objective, volumes and systems.

  2. An agreed scope

You receive a proposed pilot, responsibilities, metrics and pricing.

  3. Preparation and pilot

We prepare materials, train the team and test the workflow.

  4. Review and next step

Together we review quality and results before deciding on scale.

Reporting that supports decisions

  • Decision-maker conversations and rejection reasons
  • Qualified contacts and booked meetings
  • Held and rescheduled meetings where confirmed

What determines the price?

Audience, contact sources, qualification complexity, retries and scheduling. The proposal distinguishes a booking from an attended meeting and defines no-show rules.

Before you decide

Do I pay for a booking or an attended meeting?

We agree the outcome and acceptance rules in the proposal. Bookings and attended meetings are separate metrics. Outcome-based pricing can be discussed after a pilot and results review.

Can you follow up advertising leads?

Yes. We can follow up enquiries, qualify needs and arrange meetings. Data access, contact permissions and sales handoff are agreed before launch.

Can we start with a limited scope?

Yes. We agree a suitable scope, timing, cost and evaluation criteria after reviewing the process and team availability.

Let’s see how we can help

You do not need a complete brief. Tell us what is taking up your team’s time or which result you want to work towards. We will discuss the process, required information and possible next step.
